Role Summary
The Delivery Coordinator supports Delivery Managers in ensuring smooth, day-to-day execution of client delivery activities across assigned accounts (typically Tier 2 or Tier 3 accounts, or shared support across multiple Tier 1 accounts). This role enables the 3M Strategy (Manage, Monitor, Mine) by handling operational coordination, reporting, meeting facilitation, and basic risk tracking. The Delivery Coordinator acts as a bridge between Delivery Managers, COEs, QA teams, and internal support functions, allowing Delivery Managers to focus on client-facing delivery ownership and growth activities.
Key Responsibilities
1. Operational Support for Delivery Execution (Supports MANAGE)
- Assist Delivery Managers in tracking sprint progress, action items, and milestone completion across multiple accounts (3–5), ensuring timely updates and proactive flagging of delays and risks
- Coordinate resource requests with COEs (Legacy, Modern Engineering, Integration, Cloud/DevOps, ERP/Data, Products & Innovation) via formal intake process.
- Maintain Jira, Azure DevOps, or equivalent tools with updated tickets, backlog items, and sprint assignments.
- Schedule and document Agile ceremonies (daily stand-ups, sprint planning, retrospectives) for assigned accounts.
- Track hypercare activities (2–4 weeks post go-live) and escalate unresolved issues to Delivery Manager.
- Collect weekly status data from development, QA, and COE teams for inclusion in weekly status reports to Delivery Director.
- Maintain Account Health Dashboard (Green/Yellow/Red) with updated risk flags, SLA metrics, and client feedback.
- Monitor client leadership changes, operational shifts, or support ticket trends; flag anomalies to Delivery Manager.
- Track quality assurance and security compliance checklists for each account.
- Compile delivery health summaries, utilization data, and value-add metrics for Quarterly Business Reviews (QBRs).
- Document lessons learned and update internal knowledge bases for future project estimation.
- Identify repeat client requests or feature gaps; escalate to Delivery Manager as potential upsell/cross-sell leads.
- Co-coordinate internal kickoffs with Account Executive (AE) within 5 business days of contract signing.
- Prepare external client kickoff decks, meeting invites, and minutes for Delivery Manager.
- Track adherence to Tiered Model rules (e.g., no dedicated PM for Tier 2/3 accounts without EVP approval).
- Maintain PMO playbooks, templates, and reporting dashboards.
- Work alongside US and India Delivery Coordinators as peers (no hierarchy) under the global delivery organization.
- Participate in weekly delivery health reviews led by Delivery Director, capturing action items.
- Share reusable assets (reports, checklists, automation scripts) across the global team.
Success Metrics (KPIs)
- Reporting accuracy & timeliness – 100% of weekly status reports submitted on time with zero factual errors
- Tool hygiene – Jira/DevOps tickets updated within 24 hours of status change
- Meeting efficiency – All agile ceremonies scheduled, documented, and distributed within agreed SLAs
- Risk flagging – Minimum 1-week early warning on SLA or quality issues before Delivery Manager escalation
- Playbook adherence – 100% compliance with kickoff timelines, checklists, and documentation standards
Qualifications
Required
- 1–3 years of experience in project coordination, delivery support, or PMO role within IT services or software development
- Familiarity with Agile/Scrum methodologies and tools (Jira, Confluence, Azure DevOps, or equivalent)
- Strong organizational skills with ability to support multiple accounts simultaneously (3–5 accounts)
- Basic understanding of resource allocation, SLA tracking, and risk management concepts
- Excellent written and verbal communication for documenting meeting minutes and status updates
- Proficiency in Microsoft Office (Excel, PowerPoint, Word) or Google Workspace
- Experience working with COEs (e.g., software engineering, integration, cloud, data, legacy modernization)
- Exposure to DevOps pipelines, QA processes, or UAT coordination
- Associate degree or certification in project management (CAPM, Scrum Master, or similar)
- Prior experience in a global delivery model with US/India peer teams
- Familiarity with staff augmentation vs. value-add delivery transition
